What to Expect on Move-In Day at a Senior Living Community

Move-in day at a senior living community is a big moment, and it goes much better when everyone knows what to expect. Families often tell us the day feels like a blur of boxes, staff introductions, and emotions. A little planning keeps it calm. We’re New Horizons Moving, a local Federal Way company that has spent years working with senior communities across the South Sound, and here’s what the day typically looks like.

Before the day arrives

Most of what makes move-in day smooth happens ahead of time. Senior living communities usually have their own move-in process, and it helps to understand it early.

  • A set move-in window. Many communities schedule move-ins for specific days and times so they don’t overlap with other residents’ moves.
  • Elevator or loading dock reservations. If your parent’s new home is on an upper floor, the community may reserve the elevator for a set time.
  • Parking and access rules. Ask where the moving truck can park, how close it can get, and whether there are weight or size limits.
  • Insurance paperwork. Some communities ask movers for proof of insurance ahead of time. Ask the community what they need, then pass it to your moving company.
  • A contact person. Get the name and number of the staff member who will meet you on arrival.

A good moving company will ask about all of these before the day, and will share the details with the crew. New Horizons Moving works with community staff directly when needed, so you’re not left relaying messages.

What the morning looks like

  1. Arrival and check-in. The crew arrives within the scheduled window, and a family member meets them at the community. Introduce the crew to the staff contact and confirm the plan, including where the truck will park and which entrance and elevator to use.
  2. A quick walk-through. Before the unloading starts, walk the crew through the new space. Point out where the bed, dresser, chairs, and other major pieces go. If you made a simple floor plan ahead of time, hand it over. This is the best time to mention fragile or sentimental items.
  3. Unloading with care. Our crew protects floors, walls, and doorways, carries each item with care, and sets furniture where it belongs. We reassemble furniture that was taken apart, so the room is ready to use.
  4. The bedroom comes first. We set up the bed and main furniture in the bedroom first, so your parent has a comfortable, familiar place to rest as soon as possible.
  5. Boxes and finishing touches. Boxes go to the rooms they belong in. If you’ve booked unpacking help, our crew can unpack and place items as directed. Hang a few favorite photos and set out familiar items. Small touches make a new room feel like home quickly.

Pacific Northwest moving day tips

If your move is during our wet season, a few extras help. Bring towels or floor coverings for entryways, and ask the crew to protect upholstered items and mattresses during loading and unloading. Rain can also affect how long loading takes, so build a little extra time into the plan. Around Federal Way and the greater South Sound, I-5 and Pacific Highway traffic can slow the trip at peak hours, so ask your moving team about timing the move to avoid the busiest stretches.

After the movers leave

  • Check the room together. Walk through and confirm furniture is where you want it. It’s easy to adjust things while the crew is still there.
  • Keep essentials within reach. Medications, glasses, phone chargers, and the bag you packed for the day should be easy to find.
  • Meet the staff. A quick hello to the team that will support your parent builds comfort quickly.
  • Plan a calm evening. A familiar meal and a quiet night help more than finishing every box.

A note on cost

Surprises are the last thing a family needs on move-in day. New Horizons Moving provides a clear quote before you book, so you’ll know what the crew will do and what it costs. There are no hidden fees. You can read more about how we explain the cost of your move.

Frequently asked questions

How long does move-in day usually take?

It depends on the size of the move and the community’s rules. Many senior living moves are smaller, and a well-planned day can go quickly. Your mover can estimate the time when they give you a quote.

Often, yes. We confirm move-in windows, elevator reservations, parking, and any paperwork the community requires.
Can the crew set up furniture and unpack boxes? Yes. We reassemble furniture and can unpack and place items.

That’s a personal choice. Some seniors like to be present to guide the setup, while others prefer to arrive once the room is ready.

Medications, important papers, IDs, glasses, hearing aids, chargers, and any irreplaceable keepsakes should stay with a family member.
